Label Operations Coordinator, Catalog Releases

We seek an enthusiastic Coordinator to act as the Recordings Department’s primary liaison, coordinating with Business Affairs, Copyright, Operations and Finance teams to ensure that audio and audiovisual releases of legacy recordings and new recording projects are completed smoothly, fully cleared and on time.


Key Responsibilities Include:

Budget/P&L Tracking:

  • Administer and track recorded music budgets, including recording costs, artwork costs and other project-related expenses.
  • Research and manage royalty information for artists, songwriters, producers, and other related costs to project development.
  • Summarize and communicate appropriate deal terms and rates for all payees and relevant mechanical licensing requirements

Rights Research:

  • Research legacy recording details and compile product history
  • Review artist, producer and other rights related contracts
  • Identify required third party clearances and approvals for recording projects
  • Work with legal and business affairs team to understand relevant contracts 

Data and Project Management:

  • Maintain accurate records of all recording projects, including contracts.
  • Communicate with Artist teams and prior labels
  • Organize and maintain data related to artists, projects, and releases, including metadata and track information.
  • Communicate issues and assist with clearance process as needed

Qualifications:

  • Has 3+ years’ experience working at a record label or equivalent music industry position, preferably in project management, label operations, or contract management
  • Familiarity with various types of music contracts
  • Excellent communication skills with the ability to collaborate across creative, corporate and business teams
  • Solutions-oriented, proactive and comfortable working both independently and within a collaborative team environment

ARCHIVING & ASSETS ASSOCIATE

This role reports to the Asset Coordinator, VP of Creative Marketing and the Asset Manager.

 

Job Function & Responsibilities to include but not limited to the following: 

To help assist, organize, and market its rapidly growing portfolio of iconic music rights. More specifically, responsibilities will include the following:

  • Assist on delivery, quality control and management of all owned media and marketing assets to both internal and external partners. The assets you will work with are the foundational content that our recorded projects and marketing campaigns are built on. Working closely with Primary Wave’s V.P. Creative Marketing & Asset Manager, Campaign Managers, Creatives– you will be immersed into the day-to-day operations ensuring all owned assets, projects and marketing assets get ingested, archived, prepped, and catalogued properly.
  • Responsible for in ingesting, onboarding, organizing assets, including, but not limited to: audio, video, photographs, documents, and physical artifacts.
  • Collect and integrate metadata into digital Smart Vault system across all estate clients in an effort to create stronger searchability and connections between assets. This includes transcribing metadata from media boxes, researching dates, locations, and setlists online, and notating conditions of the physical asset as well as the digital archive of the original source
  • Work with members of the Assets & Archives team in achieving an entirely digital archive that ties directly to original source physical assets
  • Inbound and catalog assets from new acquisitions into our archives system ensuring the accuracy of asset delivery from seller
  • Assist in any and all advancements in the physical vault including but not limited to organization techniques, searchability improvements and additional storage solutions
  • Organize, scan, and ingest legal files, contracts, and correspondence into a searchable database in an effort to support Business Affairs team
  • Identify key assets and IP to assist with marketing ideas and rights. Creative new projects and packages breathe new life into the copyrights not only from a marketing standpoint but also from a revenue prospective.
  • Ideate and work closely with Asset Manager and marketing team on the development of original music-centric media content (album projects, film, tv, podcasts, etc…)

SYNC COORDINATOR / AUDIO CATALOG SPECIALIST

The Primary Wave Sync department is seeking a Creative Sync Coordinator / Audio Catalog Specialist for a position based in our Los Angeles office.

This is a creative position that reports to the President, Global Sync, and would involve working closely with the entire Sync team as well as other Primary Wave departments. Key Responsibilities Include:


In the position, the candidate would:

  • Oversee management of our department’s audio catalog, maintaining proper metadata & organization for ingestion into DISCO and would manage other sync department audio archives.
  • Liaise with artists, their representatives, co-rights holders, as well as other Primary Wave departments to obtain music and other materials
  • Assist with the design and execution of sync department e-blast campaigns
  • Curate song playlists from our catalogs to support the sync team’s pitching to various projects across film/tv/advertising/video games and more

Catalog Operations Director

Job Description:

We are looking for an enthusiastic colleague with a dedicated work ethic and a sharp mind who will own the end-to-end operational transition of newly acquired music catalog assets, from pre-closing through onboarding and revenue stabilization, which includes, but is not limited to, a thorough understanding of rights and royalty sources and the management and redirection thereof.  The right candidate will bring deep knowledge of and experience with global music rights infrastructure, strong project management discipline, and the ability to manage multiple complex transitions simultaneously while working effectively with sellers at varying levels of operational sophistication. The role reports to the VP of Revenue Growth and Income Tracking.

Specific responsibilities include:

  • Work with Sellers in the “pre-closing” phase to encourage uptake upon closing:
    • Translate diligence schedules into operational implementation plans
    • Educate Sellers and internal stakeholders regarding required documentation and communicate realistic timelines and follow-through
    • Lead structured onboarding calls
    • Provide hands-on guidance through registration transfers and documentation gaps
    • Oversee setup of 3rd party royalty obligations including payee changes
  • Develop a standardized practice or “playbook” for technical onboarding of music catalog assets upon closing:
    • Ensure coverage for each rights type and royalty streams (publishing, masters, neighboring rights)
      • PROs (ASCAP, BMI, SESAC, GMR, global PROs)
      • Rights of Administration/ Rights of Distribution
      • Neighboring rights (SoundExchange, PPL, global CMOs)
    • Exert efforts to streamline the transition from legacy administrators
    • Clean, validate, and structure incoming works schedules, ISRC/ISWC data, territory splits.
    • Flag missing metadata or conflicting chain of title.
  • Follow up as needed among all parties until resolution is reached.
  • Ensure seamless handoff to income tracking post-stabilization.
  • Perform ad-hoc special projects to support management and investor needs
  • Communicate regularly and effectively with management and all stakeholders to ensure accuracy of real-time decisions

Experience and Skills:

  • Bachelor’s degree, with 8+ years of experience in music publishing, recorded rights, royalty administration, or catalog acquisitions required
  • Deep knowledge of Global PRO’s, Neighboring rights structures, DSP revenue reporting, and chain of title analysis
  • Experience working with large works schedules

DIGITAL INTERN - FALL 2026

Primary Wave Entertainment is seeking college students to participate in our internship program in either the New York or Los Angeles office (currently remote). The Digital Intern will help produce and promote marketing content for Primary Wave clients, including but not limited to social media campaigns, content creation, industry research and outreach, and more. Interns will work directly with the digital marketing department to assist with conceptualizing and executing campaigns.

QUALIFICATIONS:
• Passionate about music and the marketing & promotion of it!
• Marketing, Music, Music Business, or Communications majors preferred
• Working knowledge of social media platforms such as Facebook, Instagram, Twitter, YouTube, Tik Tok, Bandsintown, Songkick, Snapchat, etc.

Responsibilities:
To support our music publishing catalog business by identifying marketing opportunities that will result to increasing the net publishing shares for that catalog.  This is a huge priority when working at a music publishing company and the work could include the assistance in any one of the following areas listed below:
• Assist in the creation of marketing materials including pitch decks, artist one sheets, and sizzle reels
• Conduct brand/agency research in an effort to identify potential partnerships and appropriate contacts
• Performing an analysis of our artists to ascertain artist history and demographic data
• Contribute to team ideation sessions for potential new artists/catalogue initiatives
• Assist team in liaising with other departments including synch team, artist managers, and digital design
