SENIOR EXECUTIVE ASSISTANT
Job Description:
We seek a detail oriented, enthusiastic, organized, intuitive Senior Executive Assistant to join our Primary Wave team. This role will be full-time with a hybrid in-person and remote work schedule in our New York office and will report to the CEO and COO.
Specific responsibilities include:
- Coordinate zoom & in-person meetings and calendars
- Book flights, hotels, & car services for domestic & international travel with cost comparisons across platforms
- Monitor expenses and send receipts to relevant finance members with pertinent information
- Manage information flow in a timely and accurate manner
- Works closely and effectively with the CEO and COO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- In conjunction with the Facilities manager: greet guests, set up conference room / IT, meal orders for in-office meetings and research and plan company events including holiday party, executive retreat, etc.
- Basic troubleshooting for phone, email, MS office suite
- Assist with executive home office needs.
- Capability to thrive in a fast-paced environment. Ability to prioritize and manage multiple projects
- Other duties as assigned
Qaulifications:
- Strong work tenure: 4 to 10 years of experience as a Senior Executive Assistant, Personal Assistant, Secretarial or similar role supporting C-Level Executives, preferably in a music industry
- Genuine interest in being a Senior Executive Assistant with a desire for longevity in the role
- Ability to handle ad hoc projects
- Project management skills a plus
- Capability to thrive in a fast-paced environment. Strong time management skills and ability to meet deadlines.
- Outstanding organizational and time management skills
- Excellent verbal and written communication skills
- Savvy in ability to digest varying information to keep abreast of the scenario at hand and problem solve accordingly.
- Sharp attention to detail with an ability to multi-task
- Ability to work a flexible schedule
- Highly developed interpersonal skills and ability to handle varying personalities
- Ability to maintain strict discretion and confidentiality of sensitive business matters.

ROYALITIES & DATA ANALYST
Job Description:
We are looking for an enthusiastic colleague with a dedicated work ethic and a sharp mind who will be responsible for the accuracy and completeness of all incoming and calculated royalty data in accordance with contracts and copyright law. This position will play an integral role within systems designed to record and manage data for catalogs, assets, and transactions. The role reports to the VP, Revenue Growth & Income Tracking, and will work closely with the accounting, administration, marketing and licensing teams.
Specific responsibilities include:
- Reviewing incoming statements and payments from third parties for accuracy and completeness; following up with revenue sources as appropriate
- Preparing management reports using business intelligence tools to track and analyze earnings vs prior reports, projections and streams & airplay data
- Identifying irregularities in reporting; synthesizing data to present to the administration and royalty audit teams for further review and correction
- Recording Net Publisher’s Share and Net Label Share across income types to the General Ledger
- Maintaining a deep understanding of investments, contract terms and financial metrics
- Proactively partnering with marketing, branding, content and licensing teams regarding rights owned and revenue impact of projects to inform real-time decisions and opportunities
- Engaging in desktop audits to recover revenue and blackbox income
- Helping to ensure compliance with all internal and external policies and regulations
- Using best practices to improve efficiency of processes and analyses
- Communicating regularly and effectively with the team regarding all major issues impacting data and reporting
Experience and Skills:
- Bachelor’s degree required, with 3+ years of relevant work experience in music industry required
- Advanced proficiency with Microsoft Excel (Power Pivot, Lookups, Macros)
- Experience creating reports, dashboards, and data visualizations using Power BI, Tableau, or other similar tools
- Strong data analysis skills including experience in analyzing music royalty reports
- Ability to synthesize large volumes of data and create reports from scratch required
- Accounting and/or finance experience required
- Exceptional attention to detail and accuracy, with analytical and problem-solving skills required
- Ability to multi-task and manage time to prioritize tasks
- Must be self-motivated with an intellectual curiosity
- Strong verbal and written communication skills
